Assign Tasks

Use this guide to assign tasks in RI UHIP.

 

 

From the Home Page access the Admin Dashboard screen.

 

Tasks can be assigned to workers by a supervisor.  Workers can also assign tasks to themselves. In both cases, in order to make the assignment, the worker must have system privileges to work on the task being assigned.

 

 

 

Process Steps

To assign an unassigned task:

1.      Click the Tasks tab in the Admin Dashboard.

 

·        The Admin Tasks tab is displayed

The Admin Task Tab defaults to a display of all tasks in the system. To only view tasks that have not been assigned, click on the View Unassigned Tasks button in the Search for a Task box.

 

2.      Enter task information in the Search for a Task section for tasks to be assigned. Search criteria include: first, middle, last name and zip code of the account holder, account ID, task type, task status, task priority, worker name and worker ID.

 

3.      Click Search.

 

·        Tasks that match the search criteria.

 

4.      To select a task(s) to be assigned, check the box adjacent to the task. More than one task can be assigned at a time.

 

5.      Select the Click the Assign/Reassign button to assign the task to another worker. Click the Assign to Me button to assign the task to yourself.

 

·        The Worker Search screen is displayed when the Assign/Reassign button is clicked.

 

6.      Enter search criteria for the worker the task is being assigned to:

 

a.      Enter the worker’s first name in the First Name textbox.

 

b.      Enter the worker’s middle name in the Middle Name textbox.

 

c.      Enter the worker’s last name in the Last Name textbox.

 

d.      Enter the worker’s ID in the Worker ID textbox.

 

e.      Select the worker’s location from the Default Location drop-down menu. Options are: Main Office – Internal, Contact Center, Providence – Main, Woonsocket, Wakefield, Newport, Warwick, Pawtucket, Middletown, Cranston – Benjamin Rush, Cranston – LP, Cranston – Hazard Bldg, DCYF Providence, Child Support, Family Court, Office of Rehab and Administration.

 

f.       Select the user’s role from the Role drop-down menu. Options are: Appeals Coordinator (Contact Center), Contact Center Rep-Employee and Individual, Contact Center Rep-Employer/Broker, Contact Center Rep-General, Supervisor (Contact Center), Clerk DHS, Administrator DHS, Broker/SHOP Admin Exchange,  Exchange Plan Manager (Exchange), Navigator Administrator, Supervisor DHS, Exchange System Admin, Worker DHS and PE Admin.

None of the fields to enter/select search criteria is mandatory; however, at least one must be selected or entered for the search to be completed.

 

 

7.      Click Search.

 

·        A list of workers that match the search criteria is displayed.

 

8.      Select the worker by clicking the Assign hyperlink under the Actions column.

 

·        A confirmation message notifying “Selected task(s) has been successfully assigned” is displayed.

If the worker selected does not have the permission to work on the selected task(s), an error message display with the following information: “The worker that you have selected does not have the privilege to work on the selected task(s). Please select another worker”.

 

 

·        Click the Back button to return to the main Tasks tab.

Results

Tasks are assigned to a worker.
