Update an Individual’s Social Security Number or Date of Birth
Use this guide to change an individual’s Social Security Number or Date of Birth.
From the Home Page access the Admin Dashboard screen. |
An individual’s Social Security Number or Date of Birth may need to be updated if it was entered incorrectly or if no SSN was provided. Only workers with Exchange System Admin, EOHHS System Admin and DHS System Admin roles are able to change a DoB or SSN.
Updating an SSN or DoB is a two-step process: first, the SSN/DoB needs to be updated and then, the application must be resubmitted. |
Process Steps
To update an individual’s SSN or DoB:
1. Click the Manage an Individual Account link in the Admin Dashboard.
· The Account Search screen is displayed.
2. Enter search criteria for the account which eligibility results are to be overridden:
a. Select Individual from the Role drop down menu.
b. Enter the first name of the account’s primary applicant in the First Name textbox.
c. Enter the middle name of the account’s primary applicant in the Middle Name textbox.
d. Enter the last name of the account’s primary applicant in the Last Name textbox.
e. Enter the date of birth of the account’s primary applicant in the Date of Birth textbox in the format MM/DD/YYYY or select it from the calendar.
f. Enter the social security number of the account’s primary applicant in the Social Security Number textbox in the format XXX-XX-XXXX.
g. Enter the account number in the Account ID textbox.
h. Enter the Application Received Date from and the Application Received Date to fields in the format MM/DD/YYYY or select them from the calendar.
None of the fields to enter/select search criteria is mandatory; however, at least one must be selected or entered for the search to be completed.

3. Click on the Search button.
· Accounts that match the criteria are displayed.
After the results are displayed, the search criteria can be modified by manually entering the new information. To clear the criteria, click the Reset button.

4. Select the radio button adjacent to the account.
5. Select SSN/DOB Edit from the Admin Functions drop down menu.
6. Click Submit.
· A confirmation message indicating “You have selected to change the person’s SSN/DOB, hence, you are directed to the Your Information screen. If you do not wish to proceed click No, to proceed click Yes” is displayed.
7. Click Yes.
If “No” is selected, the confirmation message disappears and the Account Search screen is displayed.

· The Your Information page displays.
8. If updating the social security number, go to the section of the family member is being updated and enter the new SSN in theSocial Security Number textbox in the format XXX-XX-XXXX.
9. If updating the date of birth, go to the section of the family member is being updated and enter the new DoB in the Date of Birth textbox in the format MM/DD/YYYY or select it from the calendar.
10. Click Next until the application is resubmitted.
When a SSN or DOB is updated, a Resubmit Application task is created. This task serves as a reminder to resubmit the application should the administrative user fail to do so when the SSN or DOB is changed. For the task to be removed, the application must be resubmitted. See the “Act on a Task – Resubmit Application” user guide for more information about this task.
If the SSN or DOB of the primary applicant on an account is updated, his/her identify must be re-verified. The next time the individual accesses his/her account, ID proofing runs. |
Results of the Procedure
The individual’s SSN or Date of Birth is updated.
When the application is resubmitted, household eligibility is redetermined.
