View Account Notices

 

Use this guide to view notices associated with an account.

 

 

From the Home Page access the Admin Dashboard screen and click on the Manage an Individual Account link.

 

Process Steps

 

To view account notices and documents:

 

1.      Click one of the Manage an Individual Account, Manage an Employee Account, Manage an Employer Account, or Manage a Representative Account links on the Admin Dashboard screen.

 

·        The Account Search screen is displayed.

 

2.      Enter the search criteria for account:

 

a.      Select the account role from the Role drop-down menu. Options are: Individual, Broker, Navigator, Employer, or Employee.

 

b.      Enter the account holder’s first name in the First Name textbox.

 

c.      Enter the account holder’s middle name in the Middle Name textbox.

 

d.      Enter the account holder’s last name in the Last Name textbox.

 

e.      Enter the account holder’s date of birth in the Date of Birth textbox in the format MM/DD/YYYY.

 

f.       Enter the account holder’s social security number in the Social Security Number textbox in the format XXX-XX-XXXX.

 

g.     Enter the account number in the Account ID textbox.

h.      Enter the Application Received Date from and the Application Received Date to fields in the format MM/DD/YYYY or select them from the calendar.

 

None of the fields to enter/select search criteria is mandatory; however, at least one must be selected or entered for the search to be completed.

 

 

3.      Click the Search button.

 

·        Accounts that match the search criteria are displayed.

 

4.      Select the radio button adjacent to the account.

 

5.      Select View Account from the Admin Functions drop-down menu.

 

·        The Administrator View of Individual Account Dashboard is displayed.

 

6.      Click on the Notices tab.

 

·        The notices tab is displayed with all the notices associated with the account.

 

7.      Click on the notice to view its content.

 

·        Notices are displayed.

 

Notices are generated each evening in a system job called a “batch.” Notices are available the next morning for viewing online.

 

 

Results of the Procedure and Available Notices

Incomplete Paper Application

This correspondence instructs an applicant that more information is needed for his or her paper application to be processed. Information needed is identified by the eligibility technician as part of the notice generation process.

This notice is received by the primary applicant.

Combined Notice of Eligibility

This notice communicates information related to eligibility determination, redetermination, enrollment, and renewal for Medicaid, advanced premium tax credits (APTC), cost-sharing reductions, qualified health plans (QHP), and dental programs.

This notice is received by the primary applicant or, if the primary applicant has named an authorized representative, then only the authorized representative receives the notice.

QHP Enrollment Notice

This correspondence informs the recipient of his/her enrollment in a private QHP and/or dental plan.

Additional Documentation Required

This correspondence informs the recipient to provide additional documentation to finalize Medicaid coverage.

QHP Disenrollment Notice

This correspondence informs an individual or household of disenrollment from a private QHP and/or dental plan.

Exemption Determination

This correspondence informs an individual who applied for an exemption whether the exemption has been granted.

Appeals Request Received

This correspondence acknowledges receipt of an appeal request.

Appeals Dismissal Notice

This correspondence communicates that an appeal request has been dismissed.

Appeals Scheduling Notice

This correspondence communicates the date, time and place for an appeal hearing.

Change of Address Notice

This correspondence is generated when the recipient’s mailing address has been updated in the system.

Incomplete Application Notice

This correspondence notifies the applicant that his/her application is in progress and must be submitted before the end of the open enrollment period.

Age Out Notice

This correspondence informs the primary applicant that a dependent is turning 26 (QHP) or 19 (Medicaid) years old and that the dependent will be disenrolled from coverage.

Notice of Annual Employee Election Period

This correspondence informs employees about the upcoming election period and to select employer sponsored coverage.

This notice is received by all of the employees contained in the employee census.

Open Enrollment Renewal Notice

This correspondence is sent to notify individuals (with active or confirmed enrollment status) about open enrollment renewal period. Users will be sent notices upon open enrollment renewal 30 days prior to open enrollment.

Applicants or authorized representatives with active or confirmed enrollment status.

Periodic Reminder for Change Reporting Standards

This correspondence specifies standards and expectations for reporting changes. Users will be sent notices as a periodic reminder for change reporting standards every 90 days.

Applicants or authorized representatives, who are enrolled in coverage.
